Your tasks
You are an organisational talent with an eye for the big picture? Then become part of ISCC System GmbH and take on a key role in office management for our company and four affiliated sister companies. You will ensure that our internal processes run smoothly, that day-to-day business runs efficiently and that the teams can concentrate on their core tasks - across all companies and with a focus on the future.

Your main duties will be:
 
  • Central organization and coordination of all administrative office processes across five companies
  • Optimization and standardization of internal workflows and office procedures across locations
  • Interface function between Management, HR, IT, Accounting, and external service providers
  • Responsibility for office infrastructure: workplace setup, equipment, mail, vehicle fleet, suppliers
  • Onboarding support for new employees, including access, equipment, and workspace setup as
  • Conducting onboarding sessions Office Administration & Health and Safety
  • Support in planning and organization of internal events (e.g., meetings with external stakeholders, workshops, company events)
  • Contract and vendor management (e.g., cleaning services, insurance, facility providers)
  • Creation and maintenance of office documentation, checklists, handbooks, etc.
  • Support with travel management and general administrative duties for the executive team
  • Checking and ensuring the tidiness, cleanliness and maintenance of the office premises and all associated equipment and devices
Your profile
  • completed commercial training or comparable qualification like e.g. a university degree in humanities, psychology, business management or another related field
  • several years of experience in office management, ideally in a multi-company setting
  • strong organizational and coordination skills
  • excellent communication skills in German and English (at least C1)
  • very strong presentation skills as well as the ability to explain complex issues in simple terms
  • proficient in MS Office; experience with digital administration tools is a plus
  • hands-on mentality and enjoyment of working in a dynamic environment
  • a structured, independent, solution-oriented working style
  • a true service-oriented mindset with an approachable, friendly and diplomatic manner
